All vendors require exhibitor passes, if you require more than the included amount these can be purchased at $10 each.

Standard Powered Site is 10 or 15amp, excessive power will be charged at a food truck rate depending on frontage/size.

Safety officers will be conducting checks throughout the show.

Select extra exhibitor passes here, these are charged at $10 each. There are 2 exhibitor passes included in the fees for sites that are 3 x 3m and small food trucks. There are 4 exhibitor passes included in the fees for sites that are 3 x 6m and large food trucks. Community sites are able to select up to 6 exhibitor passes at no charge. 

In 2023 the Lilydale & Yarra Valley Show saw 14,000 people through the gates, this was largely due to social media advertisement. There is no parking inside the showgrounds. All vehicles are to drive to their site and unload their goods and then move their vehicle offsite as soon as possible.  All cars are to be offsite strictly by 8am. No cars will be allowed to drive on site after 8am - you will need to park offsite and trolley/carry your goods to your site. Please be mindful not to block the road so other cars can drive past.

Saturday Night - Cars are not to be driven into the showgrounds prior to 10pm or when the fireworks crowd has dispersed. You must seek the approval of the business sites manager before driving into the showgrounds. 

Hazard lights must be ON and the speed limit for driving in the showgrounds is 5km per hour. This is for public liability and the safety of the stall holders and Lilydale & Yarra Valley Volunteers. Parking is found along Main Street Lilydale, Lilydale Station, Castella St, Market St, Coles Lilydale.

The Victorian Showmen’s Guild and Victorian Agricultural Shows Ltd have agreed that thefollowing items are banned at Agricultural Shows. It is our view and aim to protect andattract families to the Local Shows. 

• Explicit and Hardcore T-Shirts 

• Explicit DVD’s and Videos• Fake Cigarettes 

• Fuel Type Fire Lighters (Zippo) 

• Iridescent Hair Spray 

• Trumpets 

• Knives (including Pen Knives) – excluding appropriately packaged kitchenwaresets 

• Metal and Wooden Martial Art Nunchaku

• Laser Pen Lights and / or Laser Toys 

• Playing Cards (Nude or Lewd)• Pressure Pack Fart Gas 

• Pressure Pack Snow 

• Pressure Pack Silly String 

• Drug Related Goods (including Cocaine Kits, Bongs, etc.) 

• Stink Bombs• Water Pistols longer than 150mm 

• Water Bombs 

Toy Guns are acceptable however the following are NOT allowed: 

• Guns that are designed to Project any form of Object or Projectile 

• Pellet Guns• Ball Bearing Guns 

• Replica Guns (Bullet Type) 

• Pop Downs (Throw Downs) 

• 8 Shot Caps (caps only banned) 

• Strip Caps (caps only banned) 

• Roll Caps (caps only banned) 

• Fireworks or Crackers 

All applicants are required to provide an up-to-date Public Liability Certificate. All food sites are required to provide a Foodtrader Certificate, please note that this is not a registered food kitchen certificate and will not be accepted in its place. Please see https://foodtrader.vic.gov.au/ for more information. Failure to provide the required documents will result in an unsuccessful application. 

LILYDALE & YARRA VALLEY SHOW STALLHOLDER TERMS OF CONDITIONS

• The exhibitor accepts all responsibility for any damage or injury to a person/s or property which may be occasioned by, or arise from, the use of any machinery, implement or apparatus of any nature whatsoever, used in connection with the stand/stall and hereby indemnifies the Lilydale & Yarra Valley Show accordingly.

• Stallholders must attend both show days on the 3^rd weekend in November, unless prior arrangement is made with the Business Sites Manager – Saturday 9am – 9pm and Sunday 9am – 5pm.

• Stall set up may take place on the Friday before the show from 9am. The Lilydale & Yarra Valley Show accepts no responsibility for goods & chattels left unattended. The Lilydale & Yarra Valley Show provides patrolling security overnight on the Friday before the show and the Saturday during the show. All Stallholders who leave their goods overnight are doing so at their own risk.

• Vehicle access is available to sites on show mornings from 6am. ALL VEHICLES MUST BE OFFSITE STRICTLY BY 8AM. No vehicles will be allowed onsite after 8am. Stall holders will need to carry/trolley their goods to their site. Parking is found in the surrounding streets. It is the stallholder’s responsibility to abide by the parking signs.

• The area/site allocated to the applicant shall not be sub-let.

• Any conducting of raffles must seek permission from the Business Sites Manager prior to the commencement of the show.

• The Business Sites Manager, Secretary & President have total control of the show area and have the final say in all disputes that may arise.

• All vehicle drawbars & guy ropes are to be located within the boundaries of the site allocated.

• Stall holder products/goods must remain inside their allocated site. Stallholders exceeding site dimensions may forfeit their site and will be charged extra per metre in accordance with the site fees relevant to the stall holder. All extra fees must be paid in full before 9am on the show day, failure to do so will result in forfeiting trading for the entirety of the show and previously paid site fees.

• Stallholders are responsible for removing their own rubbish and providing their own bins. Stallholders are not to use the provided bins intended for public use. Failure to remove stallholder rubbish will incur a $100 cleaning fee.

• Security is provided overnight on the Friday before the show and the Saturday during the show. All stallholder goods/products left overnight are at the responsibility of the stallholder. The Lilydale & Yarra Valley Show accepts no responsibility for any stolen or damaged goods left unattended.

• Cancellation Policy - An administration fee of $55 will be retained for cancellations more than 2 weeks prior to the show. Stallholder cancellations less than 2 weeks prior to the show will forfeit the entirety of the fees. In the unlikely event that the Lilydale & Yarra Valley Show is cancelled, 50% of site fees will be refunded. 

• All stallholders must provide an up-to-date Public Liability Certificate. All food stallholders must provide a Foodtrader Certificate. • Food Stallholders must comply with current Health & Safety Regulations in accordance with the Food Act 1984.

• All stallholders must comply with safety checks conducted by the Lilydale & Yarra Valley Show Safety Officer.

• All stallholders are responsible for their own stall lighting after dusk.

• All stallholders are responsible for knowing the banned items listed on the application form. Any stallholders failing to comply will result in forfeiting their trade space and fees.

• Goods and Services Tax (GST) All charges listed on the application form exclude GST and will be applied on top of the fees to all invoices.

• Invoices will be sent out no later than one month prior to the show. All invoices must be paid in full no later than 2 weeks after issue. All unpaid invoices will void their application and site.

• Fairy floss, hot jam donuts and showbags are prohibited from sale by stall holders.

• Applications are open from June 1 2024 – October 16 2024. Applications after this date will be accepted at the discretion of the Business Sites Manager.  

• By signing the application form, the applicant/stallholder agrees to the above terms & conditions.
